Executive Assistant

We are looking for an organized and meticulous Executive Assistant to join our growing team headquartered in Dallas, Texas. The right candidate needs to be a motivated team player, able to juggle multiple tasks simultaneously, and effectively contribute towards the collective success of the team. This person needs to have a keen eye for detail, with the ability to manage change given immediate notice.

The right candidate can manage multiple projects/tasks at a maximum performance level. They are a stickler for total accuracy and someone who can be counted on for consistency and follow through. To maximize the effectiveness of this key role, the position will be a 100% in-office position.

Responsibilities:

  • Schedule appointments, coordinate calendars, and manage heavy travel schedule for assigned leadership, which will include proactively identifying and providing solutions for calendar conflicts and preparation of meeting materials and notes.
  • Supervise the schedule and oversee the task management for a team of ten people
  • Strong ability to monitor deadlines and provide notices to appropriate parties when necessary
  • Gatekeeping/take notes and deliver messages from phone calls, emails, memos, or reports to the broker
  • Managing/Planning Team outings, team gifts, birthdays, produce monthly and quarterly team competitions/awards
  • Perform clerical duties such organizing digital files, photocopying, mailing, and scanning documents when required
  • Document preparation for listing agreement, LOI’s and contracts.
  • Ensure all signatures are obtained for the listing agreement, disclosures, and various real estate transaction documents.
  • Obtain necessary approvals for all transaction invoices prior to release for payment and submit them to the accounting department, and process expense reports
  • Follow up with clients after the sale to check-in and coordinate a post-closing gift and request a testimonial/review

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Economics, Real Estate or other related discipline preferred.
  • Ability to translate data and information into clear, professional reports and analyses that offer insightful interpretation.
  • Exceptional time management skills, including the ability to manage schedules and deadlines for multiple projects.
  • Strong quantitative skills and demonstrated analytical ability with high attention to detail and accuracy.
  • Independent, self-motivated, driven work ethic focused on results and ensuring tasks get done.
  • Proficient in MS Office, including intermediate expertise in Microsoft Excel.
  • Passion for Commercial Real Estate and contributing within a fast paced team oriented environment.
